Main Purpose of the Role
In this role, you will manage the BSG Exchange, ensuring a productive, safe, and brand-aligned in-person experience. A key focus is improving operational effectiveness through the use of technology, automation, and AI. Working in close partnership with People Effectiveness and Marketing, you will help deliver a seamless and consistent experience for staff, candidates, and clients. This role also oversees facilities, vendor management, readiness standards, and operational governance. The focus is not on executing front-line service tasks, but rather on setting standards, defining processes, and ensuring quality.

- Evidence of continuous learning
EXPERIENCE
- Eight years in operations or business support roles
- Three to five years in office, facilities, or operational management
- Vendor and budget ownership
- Experience using technology, automation, or AI to improve processes
- Experience in professional services preferred
Strategic Leadership and Planning
- Lead operational governance for the BSG Exchange
- Set standards for readiness, workspace quality, and client experience
- Influence leaders to increase in person presence and usage of the BSG Exchange
- Shape experience strategy in partnership with People Effectiveness and Marketing
- Align operational decisions to brand expectations
Technology and Automation
- Drive Microsoft 365, Power Automate, Power BI, and Copilot adoption
- Build workflows, forms, dashboards, and simple AI enabled processes
- Improve cycle times, accuracy, and service quality using technology
- Maintain strong digital governance and data hygiene
- Guide stakeholders on technology enabled ways of working
Facilities, Vendors, and Commercial Management
- Manage landlord, building services, and vendor performance
- Review commercial terms, SLAs, and contracts
- Oversee budgets, procurement, and financial accuracy
- Track issue logs and ensure timely closure
Event And Experience Governance
- Lead governance for internal events, client sessions, and workshops
- Define briefs, runsheets, AV requirements, risk plans, and quality standards
- Ensure alignment with Marketing and People Effectiveness
- Escalate systemic issues and refine processes
Health, Safety, and Risk
- Maintain compliance with health and safety requirements
- Manage risk registers, signage, incident logs, and drills
- Ensure no overdue actionsAnticipate operational risks and resolve them early
Administrative Support To Leadership
- Provide calendar, travel, and meeting prioritisation for senior managers
- Prepare reports, presentations, and records
- Maintain confidentiality and strong information governance
Cape Town Co Working
- Manage provider selection, contracts, and service levels
- Ensure alignment with BSG standards
- Resolve issues and track user feedback
