Engagement overview
BSG’s engagement with this leading South African asset finance lender centered on the fast and accurate analysis of their POPI compliance needs, creating a solutions roadmap that ensures continuity of consent and clarifying ownership throughout the lifecycle of personal information. Before the engagement started the client had not done any assessment to determine their POPI compliance, or what initiatives must be implemented to enable compliance.
The organisation has partnerships with local businesses and forms part of a global organisation spanning 35 countries. This added a level of complexity as solutions needed to comply with global standards, align to the eight POPI conditions and integrate with the existing processes of its South African partners.
With this in mind, BSG assessed the current state of compliance by engaging with all relevant stakeholders. Relying on its compliance experience with one of the largest South African asset finance lenders, gaps were identified between the current level of maturity and the business goal.
BSG designed customised solutions to bridge these gaps that incurred minimal disruption to current processes, policies and technology, and were sensitive towards global regulatory trends.
BSG’s collaborative approach allowed us to engage closely with all business units in the organisation that touch on personal information, including Compliance, Corporate, Treasury, Marketing, Operations, Finance, Human Resources, Sales and Administration, to analyse the current flow of personal information within the organisation. Through assessing the people, processes, policies and technology which handle, use and store this data, a comprehensive picture emerged of the organisation’s status quo.
Based on this analysis BSG understood the client’s needs, identified gaps in compliance, formulated solutions and recommended a roadmap for their implementation. By using common-sense to simply get the job done we completed the analysis within five months. Minimal changes to the organisation’s technology infrastructure was recommended, maximising the value of the current infrastructure and eliminating the cost of acquiring new technologies.
A South African partner to the local arm of the global asset finance lender owned key systems, therefore recommended changes to these were kept to a minimum to reduce business disruption. BSG focussed the bulk of proposed changes to processes, policies and documentation that enabled the flow of complaint customer information.
Our co-creation approach resulted in the practical delivery of a clear solution roadmap. The solutions roadmap followed lean application techniques and intended to provide clear direction to stakeholders who engaged in the implementation phase of the project.
We solved the problem of ownership of information by recommending safeguards which will ensure continuity of consent throughout the lifecycle of customer information. Our solution allows customer information accumulated from dealerships to be integrated compliantly into the parent companies database, improving their ability to cross-sell to leads across the group.
Making a difference
Compliance projects are often seen as grudge purchases, undergone to avoid fines and containing little or no business value. Our approach was to empower the client to maximise the business benefit they derived from the compliance project. We therefore collaboratively supported the client to deliver a compliance solution roadmap overcoming capacity constraints that had prevented them from completing this in the past.
Defining a clear direction for POPI compliance enabled the client to allocate time and resources effectively when planning the implementation process. Enabling business to identify capacity constraints and other implementation related challenges early.
BSG empowered the asset finance lender with facts and a clear direction to drive project delivery. Collaborating with BSG meant the solution roadmap was completed quickly and efficiently, reducing wasted time and resources for the client.
The client was clear on what POPI compliance meant on a strategic level, but lacked buy-in from stakeholders. Our practical, transparent approach engaged the relevant stakeholders to secure buy-in, increasing the effectiveness and business value of the proposed project.
Our learnings from previous compliance solution experience with one of the largest asset finance lenders in South Africa allowed BSG to use proven processes, policies and systems in our roadmap solution recommendation. This would also ensure continuity between the client’s systems and that of their local business partner.
